Managing inventory in a large warehouse requires an organized approach to maintain stock accuracy and operational efficiency. This guide will help main warehouse managers perform inventory counts using the Shoplazza Center Admin interface. Follow these steps to ensure your inventory remains accurate and supports overall business operations.
For main warehouse managers
1. Execute warehouse inventory counts: Navigate to Inventory > Stocktaking in your Shoplazza Center Admin. Click on the Create button to start a new stocktake.
2. Select inventory count method: Choose between a Full stocktake or Partial stocktake. The full stocktake loads all products into the stocktaking sheet, while the partial stocktake allows you to select specific products for counting. Use the partial option if a suspected discrepancy exists with a particular product.
3. Add products: If performing a partial stocktake, you can import products via Excel or manually add products. Select the products you want to include, then click Confirm.
4. Add inventory lot numbers: For products with 0 inventory, click the "+" icon next to the product to add a lot number. If there is no stock, enter “inventory count” in the lot number field to allow the system to record "0" as the current stock. Submitting the form without entering a lot number will result in an error.
5. Record quantities and notes: Since the inventory fields are initially blank, you must manually enter the quantity for each product, including '0' if a product has no stock. Leaving any field blank will result in an incomplete count. Record any overage or shortage to track inventory variances.
6. Review recorded data: After completing the count, you can view the inventory product, recorded inventory value, surplus count, overage amount, shortage count, and shortage amount.
7. Resolve discrepancies: If discrepancies arise, click the Discrepancy tab to review affected products and initiate a recount if needed.
8. Confirm and adjust inventory: Once all product data is entered, click Save or select Verify to confirm the count. If overages or shortages exist, the system automatically generates an inbound or outbound form to adjust inventory levels accordingly.
Maintaining accurate inventory levels is essential for smooth warehouse operations and informed decision-making. Following this, the stocktaking process helps reduce discrepancies, supports effective inventory management, and ensures the continuous flow of goods that the business relies on.
