Viewing and Editing order details

When a product is purchased from your online store, it initiates a new order in the Unfilled stage. Visit the unfilled order page to individually view and modify orders. You have the flexibility to adjust delivery details, process refunds or cancellations, add or remove tags, and check the order timeline. This article will walk you through how to view and edit your order details.

All orders

In the All tab, you'll find every order your customers have placed in your store. This comprehensive overview includes Unfulfilled, Fulfilled, Completed and Closed orders, helping you navigate and manage them effectively.

1. From your Shoplazza admin > Orders All orders, switch over to All tab.

2. Locate the order in the search box or simply click the order you want to view.

3. On the order details page, view and edit various information in the options below.

  • Invoice: Click the icon to view, download or email the invoice.

  • More actions: Here, you have options to Cancel the order or to Copy the order number. 'Copy order No.' refers to creating a duplicate of the current order.

  • Remove/add tags: To add tags to the order, click on the Add tags button. To remove the tag, click on "x".

  • Notes: button to leave a note on this order. This allows you to add important information or reminders related to the order.

  • Contact customer: Click the envelope icon to edit and email the customer. Once confirmed, click Send an Email.

  • Fraud analysis: Check here to spot potential fraudulent orders.

  • Conversion information: See this order's conversion info, like first and last visited pages, interaction sources, sales channel, device, and IP address.

  • Payment & additional information: Check the order payment & shipping details here, including payment method, payment provider, delivery methods and shipping plan here.

  • Delivery information: To edit the delivery information, scroll down and click on the pen icon. After making the necessary changes, confirm them by clicking OK.

  • Timeline: View all the interactions between you and the customer on this order. Click Resend to send various email templates like shipping confirmation to the customer again.

Unfulfilled orders

The Unfulfilled tab is where all pending orders reside, waiting for processing and delivery. Simply click the Fulfill items button to initiate the order's transition from the warehouse to the customer's doorstep, moving it from this tab to the next.

1. From your Shoplazza admin > Orders All orders, switch over to Unfulfilled tab.

2. Locate the order in the search box or simply click the order you want to view.

3. On the order details page, view and edit various information in the options below.

  • Invoice: Click the icon to view, download or email the invoice.

  • Refund: Click Refund to give your customer a refund on this order.

  • More actions: Here, you have options to Cancel the order or to Copy the order number. 'Copy order No.' refers to creating a duplicate of the current order.

  • Remove/add tags: To add tags to the order, click on the Add tags button. To remove the tag, click on "x".

  • Notes: Click the Notes button to leave a note on this order. This allows you to add important information or reminders related to the order.

  • Contact customer: Click the email icon to edit and email the customer.

  • Fulfill items: Simply click Fulfill items and fill in the tracking information on the redirected page. Once confirmed, click the Fulfill order button.

Note

After an order is fulfilled, its status will change from 'unfulfilled' to 'fulfilled'. This update indicates that the order has been processed and completed.

  • Fraud analysis: Check here to spot potential fraudulent orders.

  • Conversion information: See this order's conversion info, like first and last visited pages, interaction sources, sales channel, device, and IP address.

  • Payment & additional information: Check the order payment & shipping details here, including payment method, payment provider, delivery methods and shipping plan here.

  • Delivery information: To edit the delivery information, scroll down and click on the pen icon. After making the necessary changes, confirm them by clicking OK.

  • Timeline: View all the interactions between you and the customer on this order. Click Resend to send various email templates like shipping confirmation to the customer again.

Fulfilled orders

The Fulfilled tab is your destination for viewing all orders that are currently in delivery. By clicking the Receive button, you confirm that the products have been successfully received by the customers. Once confirmed, switch it over to the Completed tab, marking the end of the product's journey from your inventory to the customer's doorstep.

1. From your Shoplazza admin > Orders All orders, switch over to Fulfilled tab.

2. Locate the order in the search box or simply click the order you want to view.

3. On the order details page, view and edit various information in the options below.

  • Invoice: Click the icon to view, download or email the invoice.

  • More actions: Here, you have options to Cancel the order or to Copy the order number. 'Copy order No.' refers to creating a duplicate of the current order.

  • Remove/add tags: To add tags to the order, click on the Add tags button. To remove the tag, click on "x".

  • Notes: Click the Notes button to leave a note on this order. This allows you to add important information or reminders related to the order.

  • Contact customer: Click the email icon to edit and email the customer. Once confirmed, click Send an Email.

  • Receive: Once you confirm customers receive the items, click Receive here to update the order.

Note

Once received, a fulfilled order will be updated to a completed order status.

  • More action: Click here to Send Shipping Confirmation to your customers, or Cancel fulfillment.

  • Tracking details: Click the number to view the tracking details. For instant updates, simply click on the Refresh button.

  • Edit custom shipping carrier: Click on the pen icon beside the tracking number. Fill in the shipping information and check the box for auto-notification as needed. Once confirmed, click OK.

  • Fraud analysis: Check here to spot potential fraudulent orders.

  • Conversion information: See this order's conversion info, like first and last visited pages, interaction sources, sales channel, device, and IP address.

Completed orders

In the Completed tab, every successfully delivered order finds its place. This is your quick reference for all finalised transactions, providing a clear snapshot of your store's successful customer engagements.

1. From your Shoplazza admin > Orders All orders, switch over to Completed tab.

2. Locate the order in the search box or simply click the order you want to view.

3. On the order details page, view and edit various information in the options below.

  • Invoice: Click the icon to view, download or email the invoice.

  • Return items & Refund: Click here to give your customer a refund after they return the items.

Note

When a completed order is refunded, its status will change to an after-sales order.

  • More actions: Copy the order number or archive this order.

Note

Archiving a completed order will change its status to a closed order.

  • Remove/add tags: To add tags to the order, click on the Add tags button. To remove the tag, click on "x".

  • Notes: Click the Notes button to leave a note on this order. This allows you to add important information or reminders related to the order.

  • Contact customer: Click the envelope icon to edit and email the customer. Once confirmed, click Send an Email.

Closed orders

The Closed tab is the archive of all finalized orders. By clicking the Archive button, merchants can move completed orders to the Closed tab. This practice ensures they maintain a more streamlined view of their current orders whilst also providing an organized space to store and refer back to previous transactions when necessary.

1. From your Shoplazza admin > Orders All orders, switch over to Closed tab.

2. Locate the order in the search box or simply click the order you want to view.

3. On the order details page, view and edit various information in the options below.

  • Invoice: Click the icon to view, download or email the invoice.

  • More actions: Copy the order number or unarchive this order.

Note

After unarchiving, a closed order will be reclassified as a completed order.

  • Remove/add tags: To add tags to the order, click on the Add tags button. To remove the tag, click on "x".

  • Notes: Click the Notes button to leave a note on this order. This allows you to add important information or reminders related to the order.

  • Contact customer: Click the envelope icon to edit and email the customer. Once confirmed, click Send an Email.

  • Fraud analysis: Check here to spot potential fraudulent orders.

  • Conversion information: See this order's conversion info, like first and last visited pages, interaction sources, sales channel, device, and IP address.

By following the above steps, you can easily view and edit your order details in your Shoplazza admin. This will enable you to maintain efficient order management, quickly respond to customer requests, and keep accurate track of your sales and inventory.
